Responsibilities
- Calendar & Time Management: Orchestrate complex executive calendars, prioritize critical meetings, and manage scheduling conflicts effectively.
- Communication Management: Maintain timely and organized communication on behalf of executives, ensuring follow-up and clarity on priorities and requests.
- Documentation & Reporting: Prepare, edit, and manage confidential documents, reports, and presentations with precision and accuracy.
- Follow-Through & Action Tracking: Maintain a robust tracking system for action items, commitments, and deadlines to ensure timely completion and escalation when required.
- Stakeholder Relationship Management: Serve as a primary liaison for internal and external stakeholders, representing executives professionally and maintaining strong working relationships.
- Travel Coordination: Plan and manage domestic and international travel logistics, anticipating challenges and ensuring efficient itineraries.
- Expense & Budget Oversight: Process and reconcile expense reports accurately and promptly; identify opportunities to automate and improve efficiency.
- AI-Enabled Operations: Integrate and leverage AI tools to optimize workflows, improve decision-making, and enhance executive productivity.
- Special Projects: Support or lead cross-functional projects requiring discretion, collaboration, and proactive problem-solving.
- Confidentiality: Handle sensitive information with the highest degree of professionalism, integrity, and discretion.
- Onsite & Team Support: Provide in-person support for meetings, office events, and operational needs; assist with coverage for other Executive Assistants as necessary.
